Budget Lock Dates Setup

Introduction


The purpose of the Budget Lock Dates Setup page is to set a timeline for the completion of the TI Budget Worksheet and TA/TM Budget Worksheet. The page allows for the setting of an open date and a lock date for the faculty. Furthermore, there is the ability to set up specific lock dates for each department. As the workflow of faculties differ, the user has flexibility in setting the number of lock dates.

How to Navigate the Budget Lock Dates Setup


The Budget Lock Dates Setup page consists of two components: filter and TI and TA/TM worksheets lock dates setup cards. The filter allows the user to narrow down the cards. The cards are used to set the open and lock dates.

Filter

The filter contains two fields: Fiscal Years and Faculties. The fiscal year will be pre-set to the current period. It can be changed using the drop down, but only one fiscal year can be selected in the field at a time. The faculty will be pre-set according to the user.

TI and TA/TM Worksheets Lock Dates Setup Cards

 

The card allows the user to set open and lock dates for the faculty. The open date is the first day that TI Budget Worksheet and TA/TM Budget Worksheet can be edited. The lock date is the last day that the TI Budget Worksheet and TA/TM Budget Worksheet can be edited. Furthermore, specific lock dates can be set for each department. When there is no lock date set for the department, it will follow the faculty lock date. When there is a lock date set on the department and faculty level, the department lock date will override the faculty lock date. If the current date is before the open date or if the current date is past the lock date, only historic date can be seen on the worksheets. It is not editable. If the current date is between the open date and the lock date, the fields will be editable on the worksheets. After the lock date, the system will take a snapshot of the worksheets so that users can view past budgets.

 

While the open date is a required field, the lock dates are not mandatory fields. This is to provide flexibility in workflow for large faculties that may not have time to oversee and approve every change made to the worksheets.

How to Use the Budget Lock Dates Setup


  1. Select options in filter. Click .

  2. Click .

  3. Enter a specific date for Open Date. You can do this in two ways:

    1. Click the textbox and enter the date manually

    2. Click the textbox and use the pop-up calendar

  4. If desired, enter a specific date for Lock Date. You can do this in two ways:

    1. Click the textbox and enter the date manually

    2. Click the textbox and use the pop-up calendar

  5. If you would like to have different lock dates for different faculties, then click , and select your desired department using the drop down menu.

  6. If step 5 was done, enter a specific lock date for the chosen department. You can do this in two ways:

    1. Click the textbox and enter the date manually

    2. Click the textbox and use the pop-up calendar

  7. Click .

How to Find the Budget Lock Dates Setup


  • Head to the menu drop down under Budget Mgmt > TI/TA Budget Planner

  • Select Budget Lock Dates Setup
