Uncommon eTRACS Access Request Situations
Switching to a Temporary Position:
Background:
When an employee temporarily steps into a different position, their access for the primary position should be paused. Instead, they should be granted the appropriate access needed for the temporary position. This helps ensure they have only the permissions required for their current responsibilities.
Example:
Employee B, who currently holds an assistant position in department A, is asked to temporarily assume the duties of a budget coordinator in the same department. In this case, access to eTRACS for their primary position(assistant) should be paused, and a new access request should be submitted for the budget coordinator position.
Action:
Submit a request to pause access for the primary position.
Submit a new access request for the temporary position.
Employees Holding Two Positions at Once:
Background:
Some employees hold two positions simultaneously, working across or within the same different faculties or departments.
Example:
Employee C supports both the Faculty of Environment and the Beedie School of Business and would need different access permissions for each position.
Action:
Submit Separate Access Request: Submit separate access requests for each position while specifying the position and academic units in the request
