Requesting/Pausing eTRACS Access

Please follow the steps below to submit a ticket for access/pausing access to the eTRACS system.



Submitting the Access/Pause Request

  1. Click this link to access the eTRACS access request page: https://sfu.teamdynamix.com/TDClient/255/ITServices/Requests/ServiceDet?ID=2400

  2. On the right-hand side, click the "Request Access" button to open the form

  3. Fill out the information required in the form:

  • Request Title: Specify what this ticket is about e.g. “Requesting eTRACS Access for [Insert Name]”

  • Request Type: Select whether you would like to grant or pause access for the user

    • Request Access – For new or additional accesses

    • Pause Access – For temporarily stopping access (e.g., for leaves or if the person is switching to a temporary role and need to pause existing access)

  • Requestor: This is automatically set to you, however you are able to change the requestor if you are submitting the request on behalf of

  • Requestor Department: This field is automatically selected based on the requestor

  • Is the Requestor the Employees supervisor? (Are you the employee's manager or someone in a higher management position authorized to approve this request?): Indicate if you are in a position who is authorized to approve this access request. The employee should not submit an access request for themselves.

    • e.g. Department Manager of a staff within the department, Director of Administration submitting for a new department manager.

  • Employee Name: Provide the name of the person who needs access

  • Employee SFU ID: Enter the 9 digit SFU employee number

  • Position title: Input the rank name of the employee for whom you are requesting access for

    • e.g. “Academic Advisor” or “Secretary”

  • Department of the Position: Input the department linked to the employee's position that needs access

  • Environment: Indicate what environment the access should be granted in

    • Production: Production is the environment where eTRACS is fully live and functioning

    • Sandbox: Sandbox is a test environment that users can experiment in

    • If you are unsure of which environment access should be granted in, please note this down in the ticket

  • Access Roles and Levels (Access Groups): Input the access group that the employee needs or to be removed

    • This section relates to what an employee should have access to when navigating through eTRACS

    • Depending on the access requested, users may need to undergo training to ensure they possess the necessary skills and knowledge for the level of access

  • Reason for the Request: Input a brief explanation of why the employee needs access/have their access paused

Once you’ve filled in all the required information, hit “submit”. You will receive an email confirmation regarding your ticket.

Once the request has been submitted, requests will generally take 3 business days to process.
