Introduction


One of the core components of eTRACS is the stakeholder profile. The profile provides a one-stop-shop of data integrated and displayed in one place. We'll provide definitions for each panel, explain what they do and what purpose they serve. At the end of this lesson you will be able to:

  • Find your own stakeholder profile

  • Understand the components that make up the stakeholder profile

  • Understand how to find the important information about stakeholders you need in order to do your job

How to Find Your Own Stakeholder Profile


We will start on the dashboard page of eTRACS and then move to the stakeholder profile.

  1. On the Dashboard, navigate to the profile icon in the top-right corner and then click on Profile.

  2. Within the same tab, you will be taken to your own profile.

How to Navigate the Stakeholder Profile


The stakeholder profile is structured with 'tabs' and 'cards'. Tabs divide content into meaningful sections. Within those tabs, cards are like subsections that give more detailed information. This organization helps you go straight to a specific set of options according to your current needs. Although there are only a few cards within each tab right now, the stakeholder profile will continue to grow and integrate more details as the system grows.

Each tab and card has secure accesses in order to view and edit the information. If you are unable to view a specific tab or card, contact your DA and the eTRACS team to gain access.

What is the Contact Card?

The contact card provides a summary of basic stakeholder information. This information can be utilized for anyone looking to contact that stakeholder. The email address and phone information is their 'preferred' contact information as included from HAP or as designated by administrators through the eTRACS system. The following information is normally available on the contact card:

  • Stakeholder Name - First Name (or Preferred First Name if indicated) + Legal Last Name

  • Department/Area - from the primary job as initially synchronized from myINFO, however it can be customized in eTRACS to better represent where the Faculty member resides (ie. a research area vs. chart of accounts dept)

  • Faculty - the Faculty related to the primary department (as above) or the Faculty of the primary job for non-departmentalized Faculties

User Agreements


Part of the security and privacy component of eTRACS is for any user to sign specific user agreements when they first sign in to the system to ensure they understand how their information will be used and to ensure they are conscientious when they are viewing or utilizing the data of others. Agreements can be modified and re-signed as policies change over time. The user agreements panel is a quick view of the following:

  • the name of the user agreement that was signed

  • the date and time the user signed

  • a way to view the content of the agreement that was signed

  • a way to view which agreements are signed or not signed

User Agreements Panel


The User Agreements panel is located under the Personal Details tab of the stakeholder profile and provides a list of agreements related to the user. 

Users will be able to know which agreements they have signed and not yet signed according to the following symbols:

  • A green check mark shows that the agreement has already been signed

  • A red cross mark shows that the agreement has NOT been signed

Once an agreement has a content update or new terms, you will be prompted on your next login to sign the updated agreement.

How to view agreement terms

  1. Click View next to the timestamp

  2. A pop-up modal will appear and you can view the terms of the agreement

  3. To close the pop-up modal, click the 'Close' or 'X' button at the bottom of the agreement
