Introduction


The TTR Profile is a planning tool used to manage teaching patterns (TTR) & workload transactions of an individual. The TTR profile displays the terms that the instructor should be teaching and researching for course assignment in the Course Planner. At the end of this lesson you will be able to:

  • Understand the components that make up the TTR profile

  • Understand the information produced from TTR transactions

  • Understand how to find important information that you need in order to do your job

How to Navigate the TTR


The TTR profile consists of three components: TTR Contact Card, TTR, and the Transaction Table. The TTR Contact Card includes basic information regarding the individual and a summary of the calculations derived from the transactions table that are necessary for planning. The TTR provides a visual guide to help you quickly reference the individual's teaching pattern. Only users with the permissions will be able to make modifications to the TTR and be able to view the transactions table. 

What is the TTR Contact Card?

The contact card provides a summary of the individual's active rank information, hire/tenure dates, and the net amount of study leave service years, course releases, banked courses, and other workload reduction values (1 in 9). The table below provides a description of how this information will help you in planning:

The TTR calculations (e.g. Total Study Leave Service Years) in the contact card will display the calculated net amount before the End Term that is filtered. For example, if the term filters are set to display the TTR from Fall 2020 to Fall 2023, the Total Study Service Years will not include the accumulation of service years gained/used after Fall 2023.

  • Preferred First Name + Legal Last Name

  • Click on the stakeholder name to view their stakeholder profile

Rank

  • Rank Name + Academic Unit at the lowest level, department/area

  • Primary rank is indicated by (blue star)

  • Future rank will display if stakeholder does not have a current Active rank

Original Hire Date/Tenure Date

  • Provides context when planning for teaching pattern

TTR Calculations

Calculations based on the term range filtered. Different Start and End Term filtered can result in different total values.

  • Total Study Leave Service Years - Provides a running count of the stakeholder's study leave service years gained from fulfilling teaching and research duties. Includes planned accumulation and usage for Study Leaves

  • Total Course Releases - Course releases gained but not yet used

  • Total Banked Courses - Courses being banked but not yet unbanked

  • Total 1 in 9 - Non-teaching terms gained after fulfilling eight teaching/research terms (Teaching Faculty only)

What is the TTR?

The TTR provides a visual view of the individual's teaching pattern. Click on the Start Term and End Term filters to view a different term range. 

To accommodate for all Chrome, Firefox, and Safari users, the TTR profile page now has arrow buttons which allows you to easily view a large range of terms filtered. These arrows will appear if the terms selected do not fit in your screen. We have also moved the TTR grid scrollbar at the bottom of the page. This scrollbar will work in the same way as the arrows.

What are Pattern Elements?

Pattern Elements are used to administer transactions in the TTR. Each pattern element has a different effect on the TTR which is summarized in the table below. To use the pattern element, hover over and click on the desired pattern element. Drag the element in the applicable term and the resulting transaction will display in the transactions table. Only certain users with permissions will be able to apply pattern elements to build out individual teaching pattern. The following sheet is a summary of the pattern element actions:

What is the Transaction Table?

The transaction table provides detail and explanation for each pattern element applied to the TTR. One or more transactions can correspond to a single pattern element. These transactions will be grouped together and can be expanded to show all transactions or collapsed to only display the parent transaction. 

What is a Category?

The transaction table is divided into categories (tabs) containing pattern elements that have similar transaction types and effects towards teaching workload. The table below describes the pattern elements included in each category:

Includes a log of who made changes, what changes were made, and when in the TTR

How to Read the Transaction Table

The information displayed in the transaction table will depend on the pattern element applied. Some columns will be hidden for certain pattern elements. The table below will describe how to interpret each column in the transactions table:

  • States pattern element's name and abbreviation shown on drag and drop pattern elements in brackets

Start Term

  • States the starting term of the pattern element

End Term

  • States the ending term of the pattern element

Start Date

  • In the cases where a pattern starts in the middle of the term, Start Date allows a more accurate input 

End Date

  • In the cases where a pattern ends in the middle of the term, End Date allows a more accurate input 

Transaction Type

  • Transaction type provides information on which part of the teaching workload, calculation, or pattern is being effected by this pattern element

  • There are five transaction types:

    • Teaching Value - relates to teaching workload

    • Study Leave Value - relates to the study leave service year received by fulfilling teaching and researching obligation, and Total Study Leave Value* calculation

    • 1 in 9 Value - relates to 1 in 9 received by fulfilling teaching obligation, and Total 1 in 9* calculation

    • Course Release Value - relates to course releases received and used, and Total Course Releases* calculation

    • Transaction Value - relates to banked courses, and Total Banked Courses* calculation 

*These total values are displayed in the contact card. 

Balance Action

  • Given: Adding to

  • Taken: Subtracting from

For example, when you bank a course, the balance action is Given and adds to the total banked courses. When I un-bank the course, the balance action is Taken and subtracts from total banked courses. 

Transaction Value

  • The value that is being Given or Taken

Process Status

  • For patterns that links to a process (e.g. Study Leave application from request to approve), process status represents the current status of that process. In the future, it will tie to the actual process so that Process Status will change automatically with the process flow.

  • Four process status options

    • Requested

    • Approved

    • Cancelled

    • Delayed

Leave Option

  • Column only display in the Leaves tab 

  • Leave Options selected will drive transaction value of the leaves to populate (according to Collective Agreement)

Part of Load

  • Column only display in the Banked/Taught Courses tab

  • Part of Load = 'Yes' means that the course assigned to the instructor will count towards the teaching workload

  • Part of Load = 'No' means that the course assigned to the instructor will not count towards the teaching workload

  • Part of Load = 'On Overload' means that the course assigned to the instructor is tied to an overload teaching contract

  • Provides context for future reference

Where can I track my changes? - Activity Log 

To track activity in the TTR, go to the Activity Log tab in the transaction table. You will be able to see:

  • Who made the change

  • Pattern element used and the action involved

  • Update Time

This can help you reverse actions if there is an error made and know who to contact.
