Integrated Faculty Management Systems Program
Introduction
The Integrated Faculty Management Systems (IFMS) Program is a three-year program dedicated to expanding and enhancing staff and faculty experience through modernization of administrative and business processes. The scope is to further streamline operations across SFU’s faculties by automating workflows for TA’s, RA’s, temporary instructors, tenure and promotion, faculty recruitment, study leaves, and graduate student management as well as provide end-to-end integration with myINFO ensuring a complete digital transformation away from manual processing transforming payroll and Faculty Relations workflows as well.
The holistic view includes integration of a vendor system and emphases on the optimization of faculty lifecycle management processes. It is broken down to different projects and phases with dedicated teams to focus on the various modules. Current active projects within the IFMS program:
While the primary focus is on streamlining faculty lifecycle management, the project team is taking a holistic approach—reviewing related processes that may involve other stakeholders, such as Payroll.
Background
In order for IFMS program to take place, an integrated centralized platform eTRACS (Enterprise Teaching, Research, and Collaboration System) was designed to unify all Faculties under a single application. For the past few years the team has worked on adding modules and onboarding Faculty to eTRACS.
Program Objectives:
Streamline faculty lifecycle management by automating workflows for recruitment, tenure and promotion, study leaves, TA/RA hiring, and temporary instructor contracts.
Integrate with myINFO and other systems to enhance faculty data management and decision-making.
Improve faculty, payroll and Faculty Relations processes by automating approvals, contract generation, and compensation workflows.
Ensure data integrity, security, and compliance while maintaining compatibility with existing enterprise technologies.
Support faculties with a seamless transition to digital processes with minimal service disruptions and enhanced user adoption.
Timeline
This program will be ongoing for three years. The timeline will be reviewed and updated regularly to ensure we remain on track.
To ensure all processes are thoroughly identified and effectively prioritized to meet the needs of both Faculties and staff, the program is taking an agile approach of iterative and ongoing planning to maintain flexibility rather than planning everything up front for the next three years for a “big bang” rollout.
