SI Assignments

Introduction


After all the set-ups are complete, we can assign the candidate to the course offering on this page. You should have posted the job and already have a candidate in mind before coming to this page to assign your candidate. 

How to Navigate the SI Assignments


Filter

The filter contains six fields: Terms, Faculties, Schools/Departments/Programs, Subjects, Academic Careers, and Offering Statuses. Terms will be pre-set to the current period. Faculties is pre-set according to the user. One or more options can be selected for the Schools/Departments/Programs and Subject fields. For Academic Careers, you can select Undergraduate, Graduate, or all. Offering Statuses is pre-set to include Active, Future, and Past, but you can also select Cancelled.

Results Table

Clicking  will show you all the course offerings with a TBA Instructor placeholder, a TBA Sessional Instructor placeholder, an instructor with a TBA rank, or an instructor with a Sessional Instructor rank in that selected term. The columns include Course Offering Title, Session, Section, Component Type, Instructor(s), Rank, Academic Units, Position Number (Accounting Strings), and Actions. You can click on Course Offering Title to look at the course offering profile. Furthermore, you can click on Instructor(s) to look at the stakeholder profile. Course Offering data is taken from the Course Planner. Actions allows you to edit the SI Assignment. Please refer to the section below for instructor assignment instructions.

Instructor Assignment


Once you do have a candidate in mind, look for the course offering in this page and click  to open the assignment modal. 

You can start typing the candidate’s name in this search bar. If this candidate exists in the system you will be able to select them. However, if you cannot look them up, please email your faculty’s stakeholder manager (usually someone in the Dean’s Office or your department manager) to ask them to add in a new stakeholder. You will need to give them the candidate’s full legal name and a personal email address. 

In the Instructor Position dropdown, choose the position number you wish to use. The FTE should then populate with a number once you select the Instructor Position. The FTE is always 0.1250 for courses of 3 units and above or 0.0625 for 2 units and below. This FTE will be halved if there are two instructors assigned to this offering and so on.

Right under the Instructors Assignment section you will see a Rank Selection section appear. For a candidate that has not yet been assigned to any other course using the selected position number, the system will default create a new Sessional Instructor rank. 

Underneath the Rank Selection, you will also see a timeline. This shows what other courses this candidate was assigned to at the time of your edit. At this point, you can click to finish assigning your candidate to this offering.

If you made a mistake or change your mind, as long as you haven’t generated the contract yet, you can still go back into the edit modal and select someone else as the instructor to this offering. Or you can replace it with the TBA Sessional Instructor placeholder again.

Instructor Assigned to Multiple Courses


There are times when you plan to have the same candidate instruct multiple courses (and the Instructor Position number is the same). In those cases, you can assign the instructor to those other courses at this time, making sure to Assign to Existing Rank in the Rank Selection. This way, we can generate them into the same contract.

For cases when you didn’t know the same candidate will be teaching other courses until after their original contract has been generated or submitted to payroll, assign them to the new courses using their existing rank like stated in the steps above. Just remember you will have to add that course into their existing contract by following the steps in the SI Contracts – Contract Profile, Assignment Details section of this guide.

How to Find the SI Assignments


  • Head to the menu drop down under Contract Mgmt > Temporary Instructor Management

  • Select SI Assignments
